Submission Guidelines

Submission Guidelines

  1. IC3INA follows IEEE Policy on Authorship, Peer Review, Readership, and Conference Publication.
  2. The purpose of a conference template is to provide a consistent format for papers appearing in the conference proceedings. IEEE strongly encourages the use of the conference manuscript templates provided below.
  3. IEEE conference templates contain guidance text for composing and formatting conference papers. Please ensure that all guidance text is removed from your conference paper prior to submission to the conference.
  4. Please be advised that we adopt IEEE no-show policy for non-presented paper (source: IEEE-Handling of Non-Presented Papers). IEEE reserves the right to exclude a paper from distribution after the conference, including IEEEXplore Digital Library, if the paper is not presented by the author at the conference.
  5. Failure to remove template text from your paper may result in your paper not being published.
  6. Paper Format – Papers submitted to IC3INA 2026 must consist of 4-6 written pages, including pictures, tables, papers, and references. Papers that exceed 6 pages will not be considered for evaluation and acceptance. The author is responsible for ensuring that the submitted paper has a style, font, etc. in accordance with the IEEE Proceedings format. The papers submitted must be in PDF format. Please find the complete guideline here.
  7. Paper Submission Procedure – Paper submission through the EDAS system.
  8. Plagiarism Checking – iThenticate which is included in the EDAS system. The similarity score is a maximum of 20%.
  9. The authors declare that any use of artificial intelligence (AI) tools in the preparation of this manuscript has been transparently disclosed. All AI-assisted contributions, including but not limited to writing support, data analysis, or language refinement, are clearly stated. The proportion of AI-generated content does not exceed 20% of the total manuscript. The authors take full responsibility for the accuracy, integrity, and originality of the content presented in this paper.
  10. Copyright – The IEEE e-Rights Grid (or the article/author information on the e-Rights Form) to ensure that the title, authors, and email address are accurate. As the completed forms are a contract between IEEE and the authors, we must have the correct information within the form before IEEE can publish the article.
No-show Policy

Presentation & No-Show Policy

According to IEEE policy, each paper must be presented by one author of the paper. Therefore, if your paper is accepted, one of the authors is required to register and present their paper at the IC3INA 2026 conference.

Important! Please take note that IEEE has a strict policy on no-show. Papers with no-show participants without a valid reason will not be submitted to IEEE Xplore. No refund of the paid fees may be claimed by the no-show author.

Camera-Ready Guidelines

To ensure a smooth transition to the Camera-Ready phase, authors of accepted papers should carefully review the following guidelines:

1

Registration

IEEE has a No-Show policy: one of the authors or their representatives MUST present the paper at the conference. If you’ve received an email confirming your paper’s acceptance and a separate email regarding conference registration fees, there’s an important action required.

Complete your registration payment for IC3INA 2026 by August 22, 2026.

Once you’ve made your payment, solidify your registration by submitting your payment receipt at this link: [Proof Payment IC3INA 2026]. Upon submitting the form, you’ll receive an email containing both your payment receipt and official Letter of Acceptance for your paper.

2

Final Manuscript Preparation

  • Please strictly adhere to the IEEE conference formatting guidelines. This includes font, spacing, margins, figures, tables, and citation style. For details, please refer to IC3INA Author Kit.
  • Carefully proofread your manuscript for any errors in grammar, spelling, or formatting to confirm that it will require no revision.
  • Please reflect on the reviewers’ comments in your final manuscript. The committee will check whether the revision has been performed. Please download the Revision Sheets before filling them in. After completion, kindly send the filled Revision Sheets along with your final manuscript to ic3ina@brin.go.id. Please do not edit the files directly in the shared link.
  • The final manuscript must have a similarity index below 20 percent based on IEEE requirements. Although you are not required to submit a report to us, please conduct a self-check of your final manuscript using Turnitin, iThenticate, or other reputable plagiarism-detection software. In addition, the proportion of AI-generated content must not exceed 20% of the total manuscript. The authors take full responsibility for the accuracy, integrity, and originality of the content presented in the paper, including any content generated or assisted by AI tools.
3

IEEE Copyright Transfer

The IC3INA 2026 proceedings are planned to be submitted for possible inclusion in IEEE Xplore, ensuring global visibility and international indexing for accepted papers. In this case, IEEE will be the copyright holder of your paper. One copyright form is required for each accepted paper. To provide a transfer of copyright, please follow the instructions available in the IC3INA Author Kit.

4

IEEE PDF eXpress

Use IEEE PDF eXpress [Click Here] to generate the final PDF version of your manuscript. This tool ensures compliance with IEEE formatting standards. Papers that are not IEEE-compliant will not be included in the proceedings nor published. Please refer to the instructions provided in the IC3INA Author Kit for detailed guidance. Once you have completed this process, you should download the generated PDF of your final manuscript.

5

Final Manuscript & Presentation Submission

Your Camera-Ready manuscript should be uploaded before August 22, 2026 to EDAS and ic3ina@brin.go.id, while the presentation and recorded video can wait until August 29, 2026.

Frequently Asked Questions

General Information

IC3INA (The 13th International Conference on Computer, Control, Informatics and its Applications) 2026 is the 13th edition of the international conference organized by the National Research and Innovation Agency (BRIN).
The primary theme of the conference is ‘Designing Agentic AI Systems for SDGs: Autonomous Agents, Multi-Agent Collaboration, and Real-World Applications’.
The conference is scheduled to take place in Lombok, West Nusa Tenggara, with significant support and interest from the West Lombok Regency Government.
All official information, submission guidelines, and procedural updates can be accessed via the official conference website at https://conference.brin.go.id/ic3ina2026/.

Participation & Publication

There is no strict maximum limit on the number of authors. However, the manuscript formatting must strictly adhere to the IEEE template. Please note that an extensive list of authors will proportionately expand the affiliation section—potentially occupying an entire page—which may consequently incur extra page charges.
The standard limit for a manuscript without incurring additional fees is six (6) pages.
For detailed information regarding the extra page charges, please refer to the Registration section on our official website. The rates are listed there in both USD and IDR currencies.

Accommodation

Yes, the conference will be held at Aruna Senggigi Resort & Convention (Hotel Aruna). For presenters attending offline who wish to stay at the venue, you can get a special rate that is lower than the published rate by booking your room directly through the IC3INA organizing committee.
Yes, there are many affordable accommodation options around the West Lombok and Mataram areas. Participants can easily search, compare prices, and book budget-friendly hotels through online travel booking platforms such as Trip.com, Traveloka, Agoda, or Tiket.com. If you need assistance, you can contact the committee.

Awards

Yes. The conference will feature official recognition for outstanding contributions, including the Best Paper Award and the Best Presenter Award.
The Best Paper is selected based on rigorous peer-review scores, technical depth, originality, and overall contribution to the field. The Best Presenter is evaluated during the parallel sessions based on presentation clarity, slide quality, time management, and the ability to answer questions. Winners will receive an official certificate from the committee.

Transportation

We highly recommend participants use ride-hailing applications such as Grab and Gojek for mobility and convenience. Please note that traditional local public transportation options, such as local buses or minivans (angkot), are not available in the area.

Virtual Participation

The Zoom meeting links for online presentations will be sent via email to all fully registered participants a few days before the conference dates. We highly recommend checking your registered email inbox (including the spam/junk folder) regularly as the event approaches.
If you have completed your registration and payment but have not received the link 24 hours before the conference begins, please urgently contact the committee at ic3ina@brin.go.id or via WhatsApp at +6285173042026.
